“CLIENTS - Agent” Folder

Each agent has a “ CLIENTS - Agent First Name “ folder. Within this folder there will be four other folders: Clients, Under Contract, Closed, and Archive

“Clients” Folder

This folder contains folders for the current clients that you are working with, but not yet Under Contract with. Each client’s file should be titled as “Last name, First - Listing - 123 Street Name” or “Last name, First - Buyer”

Within the client’s folder will be files for that buyer, and then sub-folders for specific transactions/properties that would contact the files and you can organize your photos into files, store the buyer or listing agreement, property info, offers, contract files, etc.

“Under Contract” Folder

This folder will contain all of the current clients that you are under contract with. Each client’s file should be titled as “Last name, First - Buyer” or “Last name, First - Listing [123 Main]

These folders will typically be a folder that already existed in the “Clients” folder and then would just be moved from the “Clients” folder to the “Under Contract” folder.

“Closed” Folder

Within the closed folder there should be files for each year of past closed transactions, for example titled as: “Closed 2020”

After every closing, that client’s folder should be moved from “Under Contract” to the “Closed” Folder for that year.

“Archive” Folder

The Archive folder is used for clients that ended up not closing or progressing forward. The agent will be the one who would move a client’s folder to the Archive folder.
