Every prospect that comes into the system will start with a Lead stage and will automatically be assigned an action plan and a Daily touch tag. Over the coming days and weeks, the Daily touch tag will change to Weekly and then Monthly, along with the action plan that sends automatic emails and creates task reminders for you to send specific text templates at certain intervals.

✋ Claiming the Lead

You will be claiming the lead either directly from the notification if it’s within the first 15 minutes, or out of the New Leads pond.

🚨 Immediate Action After Claiming a Lead

<aside> 🕒 Time of Day: Calls and texts are okay between 7-8am and 8-10pm if the lead inquiry came in within the past 15 minutes.

  1. Call immediately after claiming. Not 10 minutes later after you finish up whatever you were doing before, not 5 minutes later after you finish up an email to another client. Immediately.

If you can’t call the lead as soon as you claim it, then don’t claim it. Let someone else on the team claim that one and you can claim the next one when you’re ready and able to call them.

> NOTE: An exception to this is that if the lead’s initial inquiry message specifically asks for text or email only. So very quickly read any initial message the lead typed into the inquiry before you call.

  1. If they don’t answer on the first call, don’t leave a voicemail.
  2. Send BUYER: Initial Contact text.
  3. Send BUYER: Initial Contact email.
  4. Add the City and Price Range tags.
  5. Call back again in the next 30 minutes-2 hours and leave voicemail if no answer. Introduce yourself briefly and mention what property you’re calling about.

Days 2-7

This prospect will be immediately added to your “NEW: Never Connected” Smart List. This list shows all prospected within the past 7 and that are still in the LEAD Stage. These prospects should be called a minimum of 5 times during those initial 7 days. Please note, this is a minimum requirement, but the ideal number would be a total of 7-8 times, so that on some days you’re trying them at different times of day.

After the initial voicemail on Day 1, a second voicemail should be left towards the end of this first week. Generally it should just be a friendly touching base to see if they’ve been receiving the listing alert emails that you set up for them, but depending on their initial inquiry, you may have something more specific you can touch on with the voicemail.

The action plan will automatically send emails, but the texts will need to be sent by you as the task reminders show up on your Tasks list.
